The group chat was never a call-up list

If you run an academy, you know the scene. The coach posts in the group: “Match on Saturday at 9, please confirm.” Three stickers follow, a question about jerseys, and two unrelated messages. A day later, half the parents have not replied, and the coach cannot tell whether they missed the message or the player is not coming.

The problem is not WhatsApp: it is using a group chat for something that needs an individual record. In a group:

  1. The coach builds the list from the match. Open the call-up and mark each player as called up or substitute.
  2. Saving it for the first time sends the WhatsApp messages. Every called-up family receives an automatic message with the match details and buttons to confirm or decline attendance, with an optional note.
  3. Parents answer wherever it suits them. They can tap the button in WhatsApp or open the Games tab in their panel, where pending call-ups are listed.
  4. Staff follow the answers in real time. Under Matches → Attendance you see each player's status: confirmed, declined, or no answer yet.

Nobody chases anybody. The question is asked once, to each family, with a way to answer that takes two seconds.

The automatic close: the list settles itself

Here is the piece that solves the “what if they never answer?” problem. Every call-up has a deadline: 30 hours from the notice, or kickoff time if it arrives first. Once the window closes, unanswered call-ups are automatically marked as “Not attending.”

Why it works:

  • The coach plans with certainty. Silence stops being an unknown: it becomes a “no” the coach can work with.
  • The rule is the same for everyone. It does not depend on someone remembering to insist; the system applies the same deadline to every family.
  • Parents know where they stand. They have up to 30 hours to answer; after that, their child is not part of the match planning.

If a parent asks why their child shows as “Not attending” without having answered, that is exactly what happened: the deadline passed and the automatic close did its job.

What other automatic notices families receive
