Billing is the financial engine of your academy. Here we answer the most common questions about how Cantera Soccer generates automatic charges, records partial payments, applies scholarships, discounts and late fees, and tracks income and expenses. All available in plans starting at $39.99 USD per month, with a free 15-day trial and no credit card required.
When are charges generated for families?
Cantera Soccer generates charges automatically every night at 11:59 p.m. (Mexico Central time), based on each family's payment cadence. Weekly charges are generated on Sunday or Monday and are due on Friday; biweekly charges are generated on days 12–15 and 27–30 and are due on the 15th and the 30th; monthly charges are generated starting 3 days before the collection day and are due that day. The system never duplicates charges for the same period.
What is a payment cadence?
It is how often each family gets charged: weekly, biweekly, or monthly, with a configurable collection day from 1 to 31 for monthly billing. You assign it per parent — to all families at once or one by one — and from then on charges are generated automatically. A family without an assigned cadence receives no automatic charges, which is useful if you prefer to record their payments manually.
How do scholarships and discounts work?
You can assign each parent a discount concept with a fixed amount or a percentage; when you save it, their pending charges are recalculated immediately. A 100% discount works as a scholarship: charges are still generated and settle themselves at $0, so you keep a record of every period without billing the family. This feature is included in every plan.
Can I record partial payments?
Yes. When registering a payment you can enter a partial amount: the charge stays pending and shows the remaining balance until it is settled, and every installment is recorded. The system will not accept an amount higher than the remaining balance, so your books always match. And if you set a percentage-based late fee, it is calculated on the remaining balance, not the total — fair to families who already paid part.
What happens when a family does not pay on time?
The charge stays pending and remains visible both in your dashboard and in the parent's portal, broken down by child and concept. You can record the payment whenever it arrives, accept partial payments, or set up late fees. On the Pro plan, the platform sends automatic WhatsApp reminders. If a family leaves, you deactivate the parent: their future charges stop and their full payment history is preserved.
Can I charge late fees on overdue payments?
Yes. You configure one late-fee rule for your academy: a fixed amount or a percentage of the outstanding balance, with as many grace days as you decide. The fee is applied only once per charge, appears itemized on the receipt, and is never retroactive: it only reaches charges that became overdue after you activated the rule. If a parent already reported their transfer and it is under review, no fee is applied. And you can always waive an applied fee.
Can I issue payment tickets or receipts? From the Amateur plan
Yes: starting with the Amateur plan, every recorded payment generates a printable ticket and a PDF receipt with an itemized breakdown of concepts. On the Pro plan you can also send it via WhatsApp with a public link, so parents keep their receipt without asking at the front desk. Every payment is backed by a document and families see a more professional operation.
Can I track my academy's expenses (referees, equipment, fields)? From the Amateur plan
Yes, starting with the Amateur plan. Besides income from charges — recorded automatically when you mark a payment — you can enter manual expenses such as referee fees, sports equipment, or field rentals, with accounting categories you create to fit your academy. Entries that originate from charges are protected so your books always match the payments; manual entries can be edited or deleted.
