Frequently asked questions: players, teams and seasons
Your player roster is the foundation of your academy: payments, attendance and parent communication all depend on it. Here we answer the most common questions about how Cantera Soccer organizes players into categories and teams, and what happens to their data when a new season starts.
How many players can I register on each plan?
It depends on the plan you choose: Basic allows up to 40 players for $39.99 USD per month, Amateur up to 80 for $49.99 USD, and Pro has no player limit for $59.99 USD. When you reach your cap, the system blocks new registrations until you free up a spot or upgrade. Removing a player frees a spot while keeping their historical records. You can start with the 15-day free trial, no credit card required, and decide later which plan fits the size of your academy.
Can I import my players from Excel?
Yes. Cantera Soccer includes an importer with a downloadable template: fill it in with your players, upload it, and the system validates row by row before registering anyone, flagging errors so you can fix them. The import respects your plan's player quota (40 on Basic, 80 on Amateur, unlimited on Pro). It is the fastest way to move your current spreadsheet into the platform, and it is available on every plan.
How are players assigned to their categories?
Assignment is automatic: each player lands in the category that matches their date of birth, based on the birth-year ranges you define for the active season. You create the categories your academy uses (U-8, U-10, U-12 and so on) with their birth ranges, and the system places every player where they belong. If someone shows up in the wrong category, it is almost always a mistyped birthdate or overlapping ranges.
Does the system manage jersey numbers?
Yes. Jersey numbers are unique per category: if you try to assign a number that another player in the same category already has in the active season, the system rejects it and tells you who has it. The same number can repeat across different categories, so your U-10 and your U-14 can each have their own number 10.
Can I move a player to another team mid-season?
Yes, at any time and directly from the player's profile. Their attendance history and previous stats are preserved, so you lose nothing by moving them. This is useful when a player steps up a level, when you balance rosters, or when you open a new team within the same category.
Can I add a photo to each player's profile? Pro plan
Yes, on the Pro plan every profile accepts a player photo in JPG, PNG or WEBP format, up to 2 MB. Your staff can upload it, or parents can do it from their own portal. With photos, identifying players when taking attendance or reviewing profiles is much faster, especially for coaches who handle several categories.
Can I keep a document file for each player? Pro plan
Yes. The Pro plan enables a 4-document file per player: birth certificate, ID document (CURP), proof of school enrollment and passport, each up to 8 MB with encrypted storage. Both your staff and the parents can upload them, and only the academy and the family can view them. No more loose papers or files scattered across chats.
What happens to my data when a season ends?
Nothing is lost. "Renew season" runs a wizard that clones your categories (with the option to shift the birth year), clones teams with their coaches, and re-enrolls players by age, all in one step; at the end it tells you how many players were enrolled and how many were left out. The previous season is archived: it keeps the full history and blocks changes. A season with data can never be deleted, only archived, and there is always exactly one active season.
